2009 BOARD

WICT Greater Philadelphia annually selects a diverse group of outstanding individuals who are available to participate as board members. This year WICT Greater Philadelphia is holding an open call for nominations for the list of positions below:

To propose a candidate for the 2009 board, please download the nomination form by clicking here. Please attach resume if possible. The Committee does accept self-nominations. Do not hesitate to nominate yourself.
Roles and responsibilities for each position are outlined below.
In an effort to ensure that the WICT Greater Philadelphia Board is working collaboratively toward reaching its’ goals, the following outline of roles and responsibilities has been outlined for 2009. Each member of the Board will be expected to attend a monthly Board meeting either in person or via conference call. All board members affirm that they will work collaboratively towards chapter success.
Vice President:
- Assumes the responsibilities of President in her absence.
- Accepts responsibilities designated by the President.
- Shall serve as chair of Succession Planning Committee
- Understands the role of Vice President is in preparation to become President the following year; this effectively means that the Vice President serves a 3 year WICT Philadelphia board term. Year 1 – Vice President, Year 2 – President, Year 3 – Past President. Candidates not able to commit to a 3 Year term should consider alternate board positions.
- Shall be responsible for assisting the President in the direction and control of the Board of Directors and in the management of the business of the Chapter.

Secretary:
- Works with the president to prepare the agenda for board meetings.
- Keeps minutes of board meetings and distributes minutes in timely manner. If the secretary cannot be present at a meeting, she must be sure that someone will be available to keep minutes.
- Shall communicate all information to the Board for Board Meetings.
- Shall serve as the designated “check-in” for Board members who can not attend the monthly Board meetings. Will supply list of regrets to President prior to board meetings.
- Will control RSVP lists and prepare check in process for all events.
- If unable to attend event, along with the Treasurer will name check in individual for event.
- Will utilize membership list, RSVP list and event attendee list to track event membership goals.
- Will communicate to Membership Chair any new members at events who will need welcome packets.
- Shall have charge of the Chapter seal (if applicable) and shall affix it to any instrument when authorized by the Board of Directors.
- Shall keep or cause to be kept the original or a copy of the Bylaws and amendments, the resolutions of the members, and other documents of the organization, and shall certify that all such documents of the organization are true and correct copies.
- Shall perform whatever other duties as may be prescribed by the President.

Treasurer:
- Works with the president to implement the budget and strategic plan for the year.
- Keeps the books of the chapter.
- Monitors chapter bank accounts.
- Deposits all income and writes checks in timely fashion.
- Keeps board members informed as to the chapter’s financial status on a regular basis.
- Through planning, monitoring and working with the board, assures that adequate resources are available to fund chapter programs.
- At year end, works with incoming president, treasurer and past president to assure smooth transition of financial matters.
- Is responsible for filing the annual financial report with the national office by the stated deadline. Shall have charge of the organization funds.
- Shall work with each of the Officers in charge of the various Committees to establish appropriate budgets and financial expectations for their committee activities.
- Shall work with the Sponsorship Officer to establish the anticipated funding needed for the year based on Programming, Marketing and Mentorship committee needs.
- Shall prepare and present financial reports to the annual meeting of Members and the regular meetings of the Board of Directors, and perform such other duties as are assigned to him or her from time to time by the Board of Directors.

Membership Officer:
- Responsible for developing, implementing and communicating the chapter’s annual membership plan to the national office and the chapter membership.
- Is familiar with WICT national membership program and with the renewal/new member goals for the chapter.
- Develops and carries out new member acquisition and renewal campaigns that are within budget and designed to achieve the chapter goals.
- Coordinates the currently local membership list with WICT national staff to assure the highest possible accuracy.
- Share membership campaign successes with chapter.
- With Programming Officer, responsible for design, plan and implementation of new member orientation programs.
- Shall serve as key point person for WICT National Membership Committee.
- Reaches out to non-members who attended a recent WICT Philly event and solicits them to join the chapter. Works with non-member to identify appropriate membership level.

Programming Officer:
- Will oversee: Director of Major Fundraising Event, Director of Liberty Awards, Director of Executive/Mentoring Events and Director of Specialized Programs.
- Responsible for design, plan and implementation of any event not covered by above Directors.
- Responsible for assuring that each program is planned in a fiscally responsible manner.
- Responsible for program balance consistent with the Chapter Business Plan and Chapter Goals.
- Will provide post event recap to include: successes, lessons learned, # of attendees, financial breakdown and vendors utilized no later than 1 week form events conclusion.
- Responsible for surveying attendees post events.
- Shall work in conjunction with the Treasurer on event budget, Marketing Officer on communication timelines including development of any email and/or direct mail collateral.
Director, Major Fundraising Event
- Responsible for design, plan and implementation of chapter’s annual fundraising event (i.e. annual golf tournament).
- Shall work in conjunction with the Programming Officer, Treasurer Marketing Officer, and anyone else needed for event success.
Director, Liberty Awards
- Responsible for design, plan and implementation of chapter’s Liberty Awards event.
- Shall work in conjunction with the Programming Officer, Treasurer, Marketing Officer, and anyone else needed for event success.
Director, Executive/Mentoring Events
- Responsible for design, plan and implementation of chapter’s Executive Event as well as Mentoring kick-off, mid point meeting and graduation.
- Shall work in conjunction with the Programming Officer, Mentoring Officer, Treasurer, Marketing Officer, and anyone else needed for event success.
Director, Specialized Programs
- Responsible for design, plan and implementation of chapter’s Specialized Programs. Past programs have included Chapter Book Club.
- Shall work in conjunction with the Programming Officer, Treasurer, Marketing Officer, and anyone else needed for event success.

Marketing Officer:
- Will oversee: Director of Website and Director of Public Relations / Newsletter.
- Responsible for development, content, brand strategy and maintenance of chapter communications.
- Responsible for design, plan and implementation of event communication in a timely manner.
- Responsible for event photos.
- Will monitor and measure tactic effectiveness, creating new methods when appropriate.
Director, Website
- Responsible for all aspects of website; including content management and style.
- Will maintain online RSVP, event lists.
- Magnet mail – creation of emails
- Website – use contribute software to update all aspects
- Roster – update Comcast and Magnet Mail
Director, PR/Newsletter
- Responsible for providing Chapter exposure to membership, WICT National and local/national trade publications.
- Plan, design and implement chapter Newsletter.
- Newsletters – creation in newsmanager and distribution.

Mentoring Officer:
- Shall be responsible for overseeing the mentoring committee, implementing the program, and managing all aspects of the program.
- Shall be responsible for communication updates to WICT National as necessary and to follow any mentoring guidelines established by WICT National.
- Shall be responsible for securing Mentors and Mentees for participation by means of formal interviews, applications and biographies.
- Shall create timelines for the program and submit to the Board.
- Shall insure that the mentoring program shall be for a minimum duration of 6 months and has all components necessary for success.

Sponsorship Officer:
- Will Oversee: Director, Event Sponsorship
- Shall be responsible for soliciting sponsorships to underwrite chapter events and activities by working closely with the Treasurer, in order to offer quality events at a reasonable cost to our membership.
- Shall work closely with the board to determine annual sponsorship levels and the benefits associated with each level.
Director, Event Sponsorship
- Will work with Sponsorship officer in identifying and securing sponsorships for individual events/programs.

Director at Large:
- Commit to actively participate and assist with all programs.
- Will volunteer for assignments from WICT National when necessary.
- Ability and willingness to be appointed into Officer or Director position by Chapter President, if one should become vacant.
